Where Foundation runs out

Built for the back office in 1985. Still there.

Foundation was designed for an accounting department at a desk, and forty years later that is still where it lives. Its own users say so: in independent reviews the most common complaint is mobile, followed by speed and glitches, followed by getting reports out to Excel. Around the software sits the usual bill: a server or a hosted desktop, a licence per user and per module, an onboarding fee, and third-party apps for the field. Three places that shows up:

The field is an afterthought
Foundation Mobile covers a slice of the job, and reviewers say time and payroll do not run on a phone. So crew hours come in on paper or through a separate app, PMs approve invoices by email, and the office keys everything in days later. The people who create the costs never touch the system that budgets them.
A server, a host, and a licence for everything
Windows and SQL Server, on your hardware or in Foundation's hosted environment, priced per user and per module with an onboarding fee on top. Every PM or superintendent who needs the job is another licence. Every module you did not buy on day one is another quote.
Slow screens and Excel exports
Speed and glitches are the second most common complaint in reviews; report exports are the third. The WIP schedule and the job cost review still get rebuilt in Excel before they go to the bonding company or the owner, which means the numbers in the spreadsheet and the numbers in the system drift apart.

What the move costs

Foundation is not the expensive option. It is the one with the most lines.

Foundation is not at the Intacct end of the market, but the shape of the bill is the same: licences per user and per module, an onboarding fee, hosting or a server, and add-ons for the field. Every figure below is for the same company: an $8M contractor with 18 employees and four people in the office, before payroll.

Independent estimates put ten users near $15,000 a year in licences, about $1,500 a user, and reviewers report entry pricing near $500 a month, so four office users land around $7,000 before an onboarding fee from about $5,000 in year one, hosting if you do not run your own server, and the modules and apps added later. Every additional user or module is a line on the quote.
Sage Intacct

The cloud ERP alternative most Foundation shoppers are also quoted. Before payroll. Sage's own rate card applied to this company: three accounting seats plus PM and superintendent seats, a Sage partner for implementation and support at about $18,000 a year, and a Procore connector.

Procore sits on all three paths, so it is not counted in any of them. Payroll is excluded throughout so the figures compare like for like. Foundation: no published price; the range is from independent 2026 estimates and reviewer-reported entry pricing, not a quote. Questions contractors ask about Foundation

What does Foundation Software cost?

Foundation doesn’t publish pricing; every quote is custom. Reviewers report entry pricing near $500 a month, and independent estimates for a ten-user contractor run about $15,000 a year in licences plus an onboarding fee starting around $5,000, before hosting. It is licensed per user and per module, so the number grows with every PM who needs access and every module added later. CrewCost is $999 a month for contractors under $10M, unlimited users, implementation included.

Is Foundation cloud-based?

Foundation is a Windows and SQL Server application. You can run it on your own server or in Foundation’s hosted environment, which is the desktop application delivered remotely; Foundation Mobile and the Service Dispatch app cover parts of the field. CrewCost is cloud-native: the same system on any device, nothing to host, patch or upgrade.

We run union and certified payroll in Foundation. Does CrewCost?

Foundation’s payroll module handles union and certified payroll as a separate module. Foundation’s Procore integration syncs budgets, direct costs, change orders, POs and subcontracts from the App Marketplace.
